Barista station in Aerocity, Delhi
We run beverage counters across Aerocity, Delhi — an airport and hotel strip where the booking that comes up most is not the one you would expect. Here is how we actually work here, what it costs and how fast we can reach you.
Live coffee bars & barista hire in Aerocity
Aerocity is one of 35 Delhi localities we cover, and an outer locality where we schedule a slightly longer travel window and confirm the approach road with you before the vehicle leaves. We treat it as an airport and hotel strip. Airport-adjacent hotels, convention space and transit offices, which produces a very particular kind of event: the fly-in, fly-out meeting. Regional sales conferences, dealer meets, board offsites, interview and assessment days, training batches and award dinners — all designed so delegates land, meet and leave the same day.
The Delhi crew that covers Aerocity also covers Rohini and Paschim Vihar, so we know the approach roads rather than guessing at them. Budget 110–130 minutes of travel and then two crew, three to four lift trips, 20–25 minutes from vehicle to counter.
- 110–130 min crew travel to Aerocity from our Delhi base
- No travel charge anywhere inside Delhi
- Service lift or passenger lift — Crates break down to 1.1 × 1.4 m; two trips for a full espresso bar
- Tier-1 Delhi rate card, GST invoice and vendor onboarding
Aerocity is one neighbourhood inside a city we cover end to end. For the full Delhi rate card, the month-by-month demand calendar and every venue type we work in, see our main page for live coffee bar and barista hire in Delhi, Delhi NCR.
What events actually happen in Aerocity
What we are booked for in Aerocity is a direct consequence of what Aerocity is. As an airport and hotel strip, the mix below is what a year of bookings here actually looks like.
The rhythm of a week in Aerocity
The day starts before anyone else's does. Registration opens at 8, which means coffee from 7:15, which means our crew is through the hotel's service entry at 5:30 am. Service then comes in three hard blocks — pre-session, mid-morning break, post-lunch — with the room empty in between, and most events here finish and clear by late afternoon so delegates make evening flights.
Typical size for an Aerocity booking is 100–800 delegates, and the counter is busiest around the pre-session window from 7:15 am and the first tea break at 10:30. We staff to that moment rather than to the headcount — one barista and one machine hold 50–60 guests comfortably over three hours, but a single-block rush needs a second machine well before the guest count says so.
Plenty of Aerocity enquiries end up at a larger venue such as India Habitat Centre. Same crew, same rate card, so it is worth telling us both options when you ask for a quote.
| Event in Aerocity | Why it happens here |
|---|---|
| Award Nights & Galas in Delhi | A standing booking type here. Keep the coffee bar open after dinner — that's peak demand. |
| Corporate Offsites in Delhi | Regular in Aerocity. Book outstation offsites at least 2 weeks ahead for travel planning. |
| Seminars & Workshops in Delhi | Regular in Aerocity. Combine coffee with chai — roughly 40% of Indian attendees pick tea. |
| Corporate Events in Delhi | Regular in Aerocity. Share a PO and vendor form early — we'll handle onboarding. |
| Conferences in Delhi | Regular in Aerocity. Plan one espresso machine per 250 delegates per 20-minute break. |
Typical size here: 100–800 delegates. Busiest moment: the pre-session window from 7:15 am and the first tea break at 10:30.

High-rise: towers, service lifts and gate passes
Everything hinges on the lift. Our crates, the counter top and the compact machine are all sized to fit a standard passenger lift, because the goods lift is either booked by another vendor or out of service more often than anyone admits. We ask for a lift slot, and if the building insists on the service lift only, we take the slot it offers and shift our load-in time rather than arriving and waiting.
Airport-zone roads are permit-controlled and heavily policed, so unscheduled waiting is not an option. We get the hotel's service-entry details in advance, unload against a named slot and move the vehicle straight out to the hotel's own vendor bay.
Hotel engineering controls the sockets, and pre-function areas rarely have a spare 16A point where you want the counter. We confirm the point and its distance from the counter position in advance so the 20 m cable is enough.
What we need from your side in Aerocity: the hotel's outside-catering clearance, the service-entry slot and any airport-zone vehicle permit, plus a 16A point within 20 m of the counter. Nothing else. Counters, machines, grinders, cups, beans, milk, ice and waste disposal are all ours, and we leave the space as we found it.

Why Aerocity is priced the way it is
Delhi sits on our Tier-1 rate card, roughly 15% above our Tier-2 city rates. That gap is real cost rather than positioning: metro venue access charges, in-house labour rules at large venues, paid basement parking for the load-in vehicle in areas like Aerocity, and higher barista wages. What you get for it is a larger standby equipment pool inside Delhi and the option of a second counter at short notice.
Popular setups for Aerocity
Four setups do most of the work in Aerocity. They are not our four most expensive — they are the four that fit an airport and hotel strip, its load-in and the pre-session window from 7:15 am and the first tea break at 10:30.

Booking an Aerocity date is five steps, and only one of them needs anything from you after the quote is signed.
- 1
Tell us the Aerocity address and the date
Day 0Street or society name in Aerocity, floor, guest count and the window you want the counter open. We come back with a written quote inside two hours during working hours, and we will say plainly if your date is already full in Delhi.
- 2
Spec sheet to your venue or society
On confirmationWe send a one-page sheet asking for the hotel's outside-catering clearance, the service-entry slot and any airport-zone vehicle permit, plus a 16A point within 20 m of the counter. For Aerocity that is the step that protects your timeline — everything else is on us.
- 3
Gate pass and lift slot
T−1 dayVehicle number, crew names and the service-lift booking go in 24 hours ahead. In Aerocity's towers this single step is the most common cause of a late load-in, so we chase it rather than wait for it.
- 4
Load-in, build and taste
T−2 hrsTwo crew, three to four lift trips, 20–25 minutes from vehicle to counter, then the counter goes up, power is tested on your own 16A point and the first shots are dialled in and tasted before a single guest sees the bar.
- 5
Service, then strike
Event + 45 minBaristas on counter for the agreed window — longer on request, and in Aerocity we expect the pre-session window from 7:15 am and the first tea break at 10:30. Afterwards a 45-minute strike that takes every crate, cup and coffee ground out with us.
- Comfortable lead time
- 2–3 weeks
- Enough for the quote, venue sign-off and crew rostering in Aerocity
- Same-week slots
- Often available
- A 48-hour booking is possible, but the hotel's own vendor clearance is the gate, not our crew. If you already have the clearance we can work to it same week.
- Shortest notice
- 48 hrs
- Subject to crew and machine availability in Delhi that day
- Branded cups & counter
- +10 working days
- Print and delivery time, on top of the lead time above
