Looking for a coffee bar for your corporate offsite? Mobile coffee bars for resorts and outstation offsites. We have run beverage counters at corporate offsites in 60+ Indian cities, and the plan below is the one we actually use: a timed run of show, the right counter for your headcount, and a menu built for the moments that matter.

At a corporate offsite, service runs long rather than hard — a steady stream for eight hours or more, with two or three softer peaks instead of one brutal one. The moment everything hinges on is breakfast, and the long session break right after the first strategy block. That single fact drives the whole plan: how many machines go on site, how many baristas stand behind them, whether the menu runs hot or iced, and when the counter opens and closes.

For corporate offsites we usually combine a coffee cart for events, a corporate coffee catering and a chai & tea station. Every setup arrives fully staffed and self-contained — machines, grinders, counters, cups, beans, milk, syrups and consumables — so the only things we need from the venue are a 2m × 2m footprint, one 16A power point per machine and water access nearby. Planner's tip: book outstation offsites at least 2 weeks ahead for travel planning.

Which coffee setup fits your corporate offsite

These are the counters we recommend most often for corporate offsites. Most clients book two — one coffee counter and one non-coffee counter — because that is where queues actually form.

Coffee Cart for Events for your corporate offsite₹200–₹400/guest50+ guests · sweet spot 75–6001–2 staff per counterA styled vintage cart that works as decor and photo backdrop as much as a serving point. Where it earns its keep — breakfast, and the long session break right after the first strategy block.
Corporate Coffee Catering for your corporate offsite₹160–₹320/guest50+ guests · sweet spot 75–6001–2 staff per counterBuilt for procurement: GST invoicing, PO support, vendor onboarding and one account manager. At a corporate offsite this is the counter guests keep coming back to between the big moments.
Chai & Tea Station for your corporate offsite₹90–₹180/guest50+ guests · sweet spot 75–6001–2 staff per counterBrass kettles and kulhads, and the fastest way to serve a crowd that is standing and moving. No visible queue, even at the peak: breakfast, and the long session break right after the first strategy block.

Prices are indicative starting points per guest and include baristas, equipment and consumables. Crew shown is per counter at a typical guest count — see the sizing table below for 100 to 1,000+ guests. Final quotes depend on city, guest count, service hours and menu.

Run of show: the corporate offsite beverage plan, hour by hour

This is the sequence our crews actually work to at corporate offsites. Timings shift with your schedule, but the shape — where the quiet windows are and where the rush lands — holds almost every time.

  1. 1

    Travel day and load-in

    Day 0

Equipment travels a day ahead where possible. We test power at the property, agree the counter position with the banquet manager and dial in the grinder on local water.

  2. 2

    Breakfast coffee

    07:30 – 09:00

The heaviest hour of an offsite. People wake up slowly, so we run a continuous service for 90 minutes rather than a single peak, with chai alongside for the tea drinkers.

  3. 3

    Session breaks

    11:00 and 16:00

Two 20-minute breaks, both of them genuine spikes because an offsite room empties completely. A short break menu keeps the agenda on time.

  4. 4

    Evening activity and bonfire

    19:00 onwards

Hot chocolate, masala chai and dessert coffees work far better than espresso here. The cart moves to the lawn or poolside and becomes the social centre of the evening.

  5. 5

    Day two and checkout

    Day 2 morning

One last breakfast service, then pack-down before the buses leave. We leave flasks of coffee for the road if the return drive is long.

The one moment to over-staff
The rush that defines a corporate offsite is breakfast, and the long session break right after the first strategy block. Everything above is sequenced around it — menu length, how many lanes we run, and where the counter stands. If you change only one thing about your beverage plan, protect that window.
Venue, power and load-in
Resorts are generous with space and stingy with power points near lawns and amphitheatres. Share the property name early — we check access roads, lift sizes and generator availability, and we bring our own cabling for lawn setups.

Drawn from the counters recommended above, grouped the way guests actually order. Every drink is made fresh to order; dairy-free milk, sugar-free syrups and decaf are available across the board.

Hot coffee

Made to order on commercial machines. Carries the start and the end of most corporate offsite timelines.

CappuccinoLatteAmericanoCookies & pastries

Iced & cold brew

Brewed overnight and poured over ice — what actually sells once the room warms up.

Chai, mocktails & non-coffee

Roughly four in ten Indian guests will skip coffee entirely. This column is not optional.

Signature drink ideas for corporate offsites

A named signature drink costs nothing extra and is the thing guests photograph and remember. Ours are developed with you and printed on the menu board.

  • A hill-station filter coffee served in steel tumblers at breakfast
  • Bonfire hot chocolate with marshmallows for the evening session
  • Cold brew flasks placed in the breakout rooms
Keep the board short
Keep the printed menu to six or eight drinks. A short board pours roughly twice as fast as a long one, because guests decide before they reach the counter — and you can still make anything off-menu on request.

Guest count to setup sizing: 100 to 1,000+

Use this to sanity-check any quote you receive — ours or anyone else's. The staffing below is sized for corporate offsite demand specifically, which behaves differently from a conference break or an all-day expo.

Recommended corporate offsite beverage setup by guest count
GuestsBaristasEspresso machinesCountersService windowCups to plan for
1002 baristas1 espresso machine1 counter6–8 hr~160 cups
2502 baristas1 espresso machine1 counter8–10 hr~400 cups

1,000+7 baristas (incl. a runner)4 espresso machines2 counters (split across zones)12 hr+ in shifts~1,600 cups

How we get there: one barista on one espresso machine pours 60–80 drinks an hour, so the plan is built on 8 hours of actual pouring and roughly one machine per 300 guests for corporate offsite-style demand. Headcount shown is total across shifts, not people standing at the counter at once; nobody should be pouring for more than six hours straight. Numbers are a starting point for the conversation, not a quotation — menu length, venue layout and the length of your service window all move them.

Beverage planning checklist for your corporate offsite

A countdown you can work backwards from. Nothing here takes long — but each item is something that becomes expensive or impossible if it is left to the last week.

  1. 1

Lock the date, the venue and a rough headcount

    6–8 weeks out

Two to three weeks minimum for outstation travel, equipment transport and team accommodation; hill-station and beach properties in season want four. At this stage we only need three things: the date, the venue name and a headcount within about 20%. That is enough to hold equipment and a crew, and enough for us to tell you whether your corporate offsite needs one counter or two.

  2. 2

Choose the setup and design the menu

    3–4 weeks out

Pick your counters from the comparison above, then cut the menu down — six to eight drinks pour far faster than fifteen. This is also when you send logo files and brand colours for cup sleeves, counter wrap and the menu board, and when a signature drink gets named and sampled (for a corporate offsite, something like "A hill-station filter coffee served in steel tumblers at breakfast").

  3. 3

Walk the venue: power, water and load-in

    1–2 weeks out

Resorts are generous with space and stingy with power points near lawns and amphitheatres. Share the property name early — we check access roads, lift sizes and generator availability, and we bring our own cabling for lawn setups. We also confirm the load-in window, lift or ramp access, parking, and a 2m × 2m footprint per counter. If power is genuinely unavailable, say so now — a generator feed is easy to plan and impossible to improvise.

  4. 4

Map the counter to your run of show

    1 week out

Send the final agenda or schedule. We align opening time, break timings and the quiet windows to it, and we staff breakfast, and the long session break right after the first strategy block specifically. A counter that opens 30 minutes late at the wrong moment costs more than an extra barista.

  5. 5

Reconfirm the final headcount with a buffer

    48 hours out

Give us the final delegate or employee count and we plan consumables about 10% above it — the cheapest insurance at any event. We also exchange on-site contact numbers, gate passes and vehicle details so nothing stalls at security.

  6. 6

Day of: soft open, taste check, cup count

    Event day

Our crew arrives 90–150 minutes early, builds the counter, dials in the grinder on the venue's water and tastes shots before the first guest. At the close you get a cup count, so you know exactly what was poured and what to plan for next time.

Coffee station FAQs for corporate offsites

The questions we are asked most often about beverage service at corporate offsites.

What's the best coffee setup for a corporate offsite?
For most corporate offsites we recommend a combination of coffee cart for events and corporate coffee catering, with a chai & tea station alongside. One counter covers coffee, one covers everyone who isn't drinking coffee, which is where queues usually form. Book outstation offsites at least 2 weeks ahead for travel planning.
When should the beverage counter open and close at a corporate offsite?
Open with "Travel day and load-in" (Day 0) and keep at least one machine live through "Day two and checkout". The moment to protect is breakfast, and the long session break right after the first strategy block — that's the window we staff for, and the one most plans under-resource.
Can you set up at an outdoor venue, or one with no power point nearby?
Yes, and it's most of what we do. Resorts are generous with space and stingy with power points near lawns and amphitheatres. Share the property name early — we check access roads, lift sizes and generator availability, and we bring our own cabling for lawn setups. Where there's genuinely no supply, we run the counter from a silent generator feed — we just need to know in advance, because it changes the load-in plan rather than the price by much.
Can the counter be styled to match our branding?
Yes. We wrap the counter, print cup sleeves and set the menu board in your brand colours, and we can print your logo onto the foam of every latte. Send vector artwork two to three weeks ahead so proofs can be signed off.
What happens if our guest count changes close to the date?
Final headcount is due 48 hours out and we plan consumables about 10% above it. Scaling up by 20–30% is usually just an extra machine, a barista and more milk; beyond that it becomes a second counter, which is why the sizing table above is worth reading before you sign off. Scaling down late, we adjust consumables but not crew already rostered.
Do you travel for destination or outstation corporate offsites?
Yes. We serve 60+ Indian cities and travel to destination venues — hill stations, beach resorts, farmhouses and palace properties. Travel, equipment transport and crew stay are quoted separately and transparently. Two to three weeks minimum for outstation travel, equipment transport and team accommodation; hill-station and beach properties in season want four.
Can you serve late into the night?
Yes. Late service is common at a corporate offsite — the post-dinner and before-the-drive-home rounds matter most. We confirm the venue's hard close and our team's exit plan at the time of booking.
What do you offer for children and guests who don't drink coffee?
A full non-coffee line: hot chocolate with a toppings bar, milkshakes, fresh-fruit mocktails, masala chai, green and herbal teas, and decaf made properly rather than as an afterthought. We label caffeine-free options on the menu board, which matters more at a corporate offsite than people expect.
How much does a coffee station for a corporate offsite cost?
Indicative pricing for the setups we recommend here starts at about ₹90 per guest and runs to around ₹200 per guest for the more elaborate counters, including baristas, equipment, consumables and setup. Metro cities, longer service windows, branded counters and outstation travel move the number. We send an itemised quote, usually within two hours.
