Why Delhi sits where it does on our rate card

Delhi is a Tier-1 metro on our rate card, so these prices carry roughly a 15% metro loading over our Tier-2 city rates. That difference is real cost, not positioning: metro venue access charges, union and in-house labour rules at large venues, paid basement parking for the load-in vehicle, and higher barista wages. In exchange you get same-day crew availability, a larger standby equipment pool in the city and the option of a second counter at short notice.

Venue playbook

Venues we serve in Delhi

We have poured at Bharat Mandapam, Yashobhoomi (IICC), India Habitat Centre, Aerocity hotels and at hundreds of banquet halls, farmhouses, offices and homes across Delhi. Each venue type changes the setup, so here is what we plan for before we quote.

Large-format convention centre

Bharat Mandapam, Yashobhoomi (IICC) & India Habitat Centre

Multi-hall summits, trade expos and dealer meets where 500–3,000 delegates break at once.

Load-in & access: Back-of-house docks and goods lifts. We submit vendor passes and vehicle numbers 24 hours ahead and load in through the service corridor, never the delegate entrance.

Recommended: Conference Coffee Station in Delhi →
Hotel ballroom & pre-function area

Aerocity hotels

Receptions, award nights, town halls and conferences of 100–800 guests across ballroom and pre-function space.

Load-in & access: Banquet service lift plus an in-house F&B clearance. We work to the hotel's outside-catering policy and bring our own counters, so no kitchen or pantry space is needed.

Recommended: Live Coffee Bar in Delhi →
Banquet hall & wedding lawn

Banquet halls & wedding lawns around Pitampura

Mehendi, sangeet, reception and engagement functions of 150–700 guests, often back-to-back the same night.

Load-in & access: One ramp or one lift, shared with the decor and catering teams. We arrive two hours before guests and run off the hall's dedicated 16A sockets rather than the lighting board.

Recommended: Wedding Coffee Bar in Delhi →
Resort, farmhouse & lawn property

Farmhouses & private lawns off Mehrauli

Offsites, team-building days, haldi and mehendi functions and milestone parties of 50–300 guests.

Load-in & access: Soft-ground setups: we carry floor plates for the cart wheels, a weather canopy and long cable runs, and plan for generator rather than mains power.

Recommended: Coffee Cart for Events in Delhi →
Corporate campus & coworking floor

Corporate campuses & coworking floors in Paschim Vihar

Town halls, client visits, engagement days and recurring barista days for 40–400 staff.

Load-in & access: Gate pass, material-inward entry and a booked service-lift slot. We schedule load-in outside the 9–10 am lift rush so nothing clashes with the morning shift.

Recommended: Office Coffee Setup in Delhi →
Homes, villas & apartment clubhouses

Homes & apartment clubhouses in Model Town

House parties, birthdays, griha pravesh, kitty parties and anniversaries for 25–120 guests.

Load-in & access: A lift-friendly kit: the compact machine, counter and crates break down to fit a standard passenger lift and need one parking bay for 45 minutes.

Every Delhi booking starts with a power check. One espresso machine needs a dedicated 16A point drawing about 3.2 kW; two machines and a grinder for a 300-guest break want roughly 8–10 kW of headroom on the venue board. We confirm this in writing with the venue, and the crew still arrives with its own 20 m cable, converters and an RCD.

A tenth-floor town hall and a farmhouse lawn are two different jobs. In high-rise pockets like Mehrauli, Paschim Vihar and Model Town the constraints are the service-lift slot, the gate pass and the material-inward register, so we load in outside the morning lift rush and carry crates sized for a passenger lift. On the Delhi periphery — farmhouses, lawns and resort properties — the constraints are generator power, soft ground and approach roads, so we bring floor plates, a canopy, long cable runs and an extra 45 minutes of buffer.

We cover all of Delhi inside roughly 40 km of the centre at no travel charge, including Mehrauli, Paschim Vihar, Model Town, Saket, Pitampura, and we work across Delhi NCR — Gurugram, Noida, Jaipur, Lucknow are routine runs for the Delhi crew. On weather: winter fog can delay morning load-ins, and July–August downpours mean every lawn setup needs a canopy.

How a Delhi load-in runs

  1. 1

    Venue recce or spec sheet

    T−7 days

For large Delhi venues we do a short recce; for hotels and offices a one-page power, water and access sheet signed off by the venue manager is enough.

  2. 2

Passes, gate entry and lift slot

    T−1 day

Vendor passes, vehicle numbers and the service-lift booking go in 24 hours ahead — the single most common cause of a delayed Delhi load-in.

  3. 3

    Load-in and build

    T−2 hrs

Counter, machines, grinder and consumables in place, power tested on the venue's own point, and the first shots dialled in and tasted.

  4. 4

    Service and strike

    Event + 45 min

Baristas on counter for the agreed window, then a 45-minute strike that leaves the space exactly as we found it.

What sits outside the per-guest rate
GST, outstation travel beyond the 40 km Delhi radius, custom-printed cups and counter branding (allow 10 working days), and any charge the venue itself levies on outside vendors. Each one is an itemised line on your quote before you sign — nothing is added afterwards.

Wedding muhurat dates
North Indian wedding muhurats cluster in November–December and again from late January to February, with an Akshaya Tritiya spike in late April or early May. If your date is a named muhurat, assume every good vendor in Delhi is quoting the same day you are — lock the beverage counter as early as you lock the caterer.

Which setup suits which Delhi event

Different Delhi events fail in different ways — a conference fails on queue length, a sangeet fails on closing time, a house party fails on counter size. This table is how we match the setup to the brief.

Event in DelhiRecommended setupTypical sizeLocal note
Conferences in DelhiConference Coffee Station + Live Coffee Bar800–3,000 guestsPopular with Delhi offices in Mehrauli and Paschim Vihar; add a chai counter for roughly 40% of attendees.
Corporate Events in DelhiCorporate Coffee Catering + Live Coffee Bar200–900 guestsDelhi corporate bookings come with sponsor-branded cups, a GST invoice and a named event manager.
Weddings in DelhiWedding Coffee Bar + Mocktail Bar300–1,200 guestsCommon across Mehrauli and Paschim Vihar banquet lawns, where we run off the hall's dedicated sockets.
House Parties in DelhiBarista on Hire + Mocktail Bar25–80 guestsThe compact kit fits a flat or clubhouse in Mehrauli — one lift trip, one parking bay.
Birthday Parties in DelhiMocktail Bar + Coffee Cart for Events30–150 guestsOne barista comfortably serves 50 guests; past that we add a second and a spare grinder.
Kitty Parties in DelhiBarista on Hire + Chai & Tea Station15–50 guestsOne barista comfortably serves 50 guests; past that we add a second and a spare grinder.
Office Parties in DelhiMocktail Bar + Cold Brew Bar100–600 guestsBreaks are locked to the agenda, so we pre-brew and hold: the first 100 cups go out inside eight minutes.

Guest bands are typical for Delhi and scale with venue capacity — tell us your actual headcount and we'll size the counter and crew to it.

Local answers

Delhi coffee bar FAQs

The questions our Delhi team is asked most, answered with Delhi-specific numbers.

How much does a live coffee bar cost in Delhi?
A live coffee bar in Delhi starts at about ₹210 per guest for 50+ guests, including two baristas, a commercial espresso machine, premium Indian arabica and all consumables. A kulhad chai counter starts around ₹100 per guest. As a Tier-1 metro, Delhi carries roughly a 15% loading over our Tier-2 rates. Final quotes depend on guest count, service hours, menu and branding.
Which areas of Delhi do you cover?
All of them. We regularly serve Connaught Place, Saket, Vasant Kunj, Hauz Khas, Greater Kailash, Defence Colony, Dwarka, Rohini and every other locality in Delhi, with no travel charge inside roughly 40 km of the centre. We also cover suburbs and satellite towns in Delhi NCR.
How far in advance should I book a barista in Delhi?
3–4 weeks is comfortable for a standard booking. In Delhi's peak months (Feb, Oct, Nov, Dec) we recommend 6–8 weeks, because north Indian wedding muhurats cluster in November–December and again from late January to February, with an Akshaya Tritiya spike in late April or early May. Custom-branded counters and cups add about 10 working days on top.
Do you travel outside Delhi for events elsewhere in Delhi NCR?
Yes. Our Delhi crew covers Gurugram, Noida, Jaipur, Lucknow and smaller towns across Delhi NCR, and we handle destination events anywhere in India. Beyond the 40 km free radius we add one itemised outstation line — roughly ₹18–₹25 per km round trip for the vehicle, fuel and tolls, plus about ₹1,200 per crew member per night for stay on late-finish or multi-day events.
What power and water do you need at a Delhi venue?
One dedicated 16A power point per espresso machine (about 3.2 kW each) and 20 litres of potable water per 100 guests within about 15 metres. For lawn, ground and terrace setups we need a generator spur rather than a shared extension. We send your venue a one-page spec sheet on confirmation and still carry our own cable, converters and an RCD.
Do you provide GST invoices for companies in Delhi?
Yes. We raise GST invoices against your PO, complete vendor onboarding and MSME or supplier-registration forms, and can bill a Delhi entity or your head office. Advance and milestone payment terms are both fine, and we handle multi-city rollouts on a single contract.
Can you handle a same-day or short-notice booking in Delhi?
Often, yes — 48 hours is the shortest we can commit to in Delhi, subject to crew and machine availability that day. Short-notice is easiest in our quieter months and hardest during Feb, Oct, Nov, Dec. Message us with the date, venue and guest count and we will confirm within two hours.
What happens if it rains at an outdoor Delhi event?
Every outdoor date we quote includes a covered counter footprint and a named indoor fallback position agreed with you in advance. Winter fog can delay morning load-ins, and July–August downpours mean every lawn setup needs a canopy. Our electricals run on an RCD with sealed connectors, and we can relocate a counter in about 20 minutes if the weather turns mid-event.
How many baristas do I need for my Delhi event?
One barista and one machine comfortably serve 50–60 guests over a 3–4 hour window. For a conference break where everyone arrives at once, plan one machine per 250 delegates per 20-minute break — so a 750-delegate session at Bharat Mandapam runs three machines and five to six staff.
