Latte Art Station packages & indicative pricing

We keep latte art station pricing simple: one per-guest rate covering crew, machines and every consumable, tiered by how long the counter stays open. Use the tier closest to your event as a budgeting anchor — the final quote only changes if your city, hours, menu or branding change.

What actually moves the price
Guest count and hours do most of the work. After that: city (Tier 1 metros run about 15% higher), menu length, milk and syrup upgrades, branded counters or cups, and outstation travel or crew stay. Nothing is charged per cup, so a guest who comes back for a second coffee doesn't change your bill.
Process

How booking latte art station works

Five steps, with the timings we actually work to. Most clients get from first enquiry to a confirmed date inside 48 hours, and 21 days is a comfortable run-up to event day.

  1. 1

Send the brief and get a costed plan

Day 0 · reply in 2 working hours

Tell us the date, city, venue, guest count and how long you need the counter open. We reply with a counter plan, a menu, the crew and machine count from the planner below, and an indicative per-guest rate for your latte art station — no site visit needed for a first number.

  2. 2

Lock the menu, branding and date

    T−21 days

Choose your drinks from the 4-item menu, confirm milk and sugar options, and send branding artwork if you want the counter and cups carrying your logo. A 30% advance holds the date and the crew; the balance is due against a GST invoice after the event.

  3. 3

    Recce, load-in and setup

    T−120 minutes

The crew reaches the venue 120 minutes before doors. We build the counter, connect to the 16A point, flush and heat the machine, dial in the grinder against the day's humidity, and taste the first drinks about 20 minutes before your guests arrive.

  4. 4

    Live service with queue management

2.5 hrs–12 hrs on the floor

Every counter holds about 40 drinks an hour. One crew member works the machine while runners keep cups, milk and garnishes moving and read the queue — if a session breaks early, we pre-pour and pre-steam so the line never stalls at the counter.

  5. 5

    Teardown, handover and invoice

45 minutes after close · invoice in 24 hrs

We strip the counter, carry out segregated waste and leave the floor as we found it — 45 minutes, start to finish. You get a cup-count summary and a GST invoice within 24 hours, with PO and vendor-portal details if your finance team needs them.

Capacity planner

How many baristas and machines do you need?

Capacity planning for latte art station comes down to three numbers: how many drinks land in the busiest hour, how many drinks one counter can hold, and how much floor space the venue can give you. Here is how those play out from 50 to 1,000 guests.

Latte Art Station staffing & capacity by guest count
GuestsPeak drinks/hourCounters (machines)Crew on floorCounter spaceService window
5013/hr112 m × 2 m (4 sq m)2 hrs · ~60 cups
10025/hr112 m × 2 m (4 sq m)2.5 hrs · ~120 cups
25063/hr23 (2 on machines + 1 runner)4 m × 2 m (8 sq m)3 hrs · ~300 cups
500125/hr46 (4 on machines + 2 runners)8 m × 2 m (16 sq m)4 hrs · ~600 cups
1,000250/hr710 (7 on machines + 3 runners)14 m × 2 m (28 sq m)4 hrs · ~1,200 cups

Formula: peak drinks/hour = guests × 0.25 (the share who order in the busiest hour). Counters = peak ÷ 40 drinks per counter per hour, rounded up. A runner is added for every second counter. Counter space is the running counter length, excluding the ~1 m the crew works in behind it.

If a proposal gives you one machine for 500 guests, the queue — not the coffee — is what your guests will remember. Conversely, nobody needs a machine per 80 delegates: at a conference, one machine per 200–250 delegates is the planning rule because breaks are staggered. Ask any vendor for peak drinks/hour, counters and crew as three separate numbers; if they can't give them, they haven't planned the event.

One counter is one crew member plus one machine, and holds about 40 drinks an hour at a pace it can sustain all event — push past that and shot quality and queue times both suffer. Not everyone drinks in the same hour, though: for latte art station roughly 25% of guests order in the busiest hour, which is why 1000 guests need 7 counters rather than twelve. That works out to about one machine per 143 guests — the same ratio we use for conference breaks, where one machine per 200–250 delegates is the planning rule. Across a full event, expect about 1.2 cups per guest.

Venue requirements for a latte art station

Everything below is what a latte art station counter needs from the venue — worth forwarding to your banquet manager, facility team or production lead before load-in day. Per counter, the short version is 2 m × 2 m of level space, one 16A power point, and water nearby. We bring the rest.

Your venue checklist

  • One 16A point for the machine, one 6A for the printer
  • 2 m × 2 m plus a 1.5 m photo-friendly queue lane
  • Even lighting — printed art photographs badly in the dark
  • Logo artwork as vector or 300 dpi PNG
The one thing venues get wrong
Power. A counter pulls about 3.6 kW, and sharing a circuit with DJ racks, warmers or stage lights trips breakers mid-service. Ask for one dedicated 16A point per counter — and on lawns, terraces and tented venues, a generator-backed one.

Latte Art Station vs other setups

Picking between setups is mostly about guest flow and venue constraints, not taste. This table compares latte art station with the three services clients most often shortlist alongside it.

Side-by-side: price, staffing, best use and feel

Per-guest rates are indicative starting points for the minimum guest count of each service. Many clients combine two setups — an espresso bar plus a chai counter is the most common pairing at Indian events, because roughly 40% of guests reach for tea.

Questions

Latte Art Station: questions & answers

The nine things clients ask before booking latte art station — on cost, inclusions, staffing, lead time, travel, invoicing, contingency, customisation and cancellation.

Still unsure? WhatsApp us your date, city and guest count and you'll have a counter plan the same day.

How much does latte art station cost in India?
Indicative pricing runs about ₹250–₹500 per guest for 50+ guests on an 8-hour booking. Smaller or shorter events sit nearer the upper end because setup, travel and crew costs are fixed, and large bookings of 500+ guests come down towards the lower end. Guest count, hours, city, menu length and branding are what actually move the number, so treat every figure here as a range rather than a final quote.
What's included in a latte art station booking?
Latte art champions, Edible-ink latte printer, Logo & photo printing, Social-media-ready moments. On top of that you get freshly roasted indian arabica, dairy and plant milks, syrups, cups, lids, stirrers and napkins, 120 minutes of load-in and 45 minutes of teardown, waste removal, and a crew member for roughly every 45 guests. The only things we ask the venue for are space, a 16A power point per counter and water access.
How many baristas and machines do I need for 200 guests?
For 200 guests we would plan 2 counters and 3 crew. The arithmetic: around 50 drinks land in the busiest hour, one counter holds about 40 drinks an hour, and from two counters up we add a runner for cups, milk and queue flow. Across a 3 hrs window that is roughly 240 cups and 4 m × 2 m (8 sq m) of counter space. The planner table on this page runs the same formula for 50 to 1,000 guests.
How far in advance should I book?
21 days is comfortable for most dates — that covers menu sign-off, branding artwork and crew rostering. In peak season (October to February for weddings, and the conference run from January to March) popular Saturdays go 6–8 weeks ahead, so book earlier if your date is fixed. We do take same-week and next-day enquiries when a crew is free; ask and we will tell you honestly.
Do you travel to outstation and destination events?
Yes. We operate in 60+ Indian cities and travel to destination venues — Udaipur, Jaipur, Goa, Rishikesh, Coorg and the hill stations included. Within city limits there is no travel charge. Beyond roughly 50 km we add travel and, for an early load-in or a late finish, crew stay at actuals, quoted upfront as a line item. For genuinely remote venues we send equipment a day ahead so the counter is tested before your event day.
Do you provide a GST invoice and support vendor onboarding?
Yes. Every booking can be invoiced with GST against a PO, and we are happy to complete vendor-onboarding forms, submit MSME and bank details, share FSSAI and insurance certificates, and register on your procurement portal. Standard terms are a 30% advance to hold the date with the balance on invoice; agreed credit terms are possible for repeat corporate clients.
What happens if the venue loses power mid-event?
We plan for it. Each counter draws about 3.6 kW, so for lawns, terraces and tented venues we ask for a generator-backed circuit rather than a house point, and we carry our own extension reels and surge protection. A heated boiler holds pressure for roughly 15–20 minutes, which usually covers a changeover. If an outage runs longer, the crew switches to a no-power fallback — pre-brewed flasks, manual pour-over or chilled batch drinks — so guests are still served while the venue restores supply.
Can we customise the menu and brand the counter?
That is most of what we do. Pick as many or as few of the 4 menu items as you like, add a signature drink built around your theme, product or the couple's favourite flavours, and we will print menu cards to match. Counter fascia, backdrop, cup sleeves and barista aprons can all carry your logo — edible-ink selfie & logo printer runs about ₹12,000 per printer per day. Send vector artwork five working days before the event. Sugar-free, lactose-free, oat-milk, vegan and Jain options are available at no extra cost.
What is your cancellation and rescheduling policy?
Reschedules are easy: move the date up to 7 days before the event and the advance carries across to any new date within 90 days, subject to crew availability. Cancellations more than 14 days out are refunded less a small administrative fee; inside 7 days the advance covers crew and consumables already committed. Peak-season dates and anything needing custom fabrication or printed branding have tighter terms, which we spell out on your booking confirmation rather than leaving to the fine print.

Other services

Most latte art station bookings come together in a single phone call: you tell us the date, city, venue and guest count, we send a counter plan and a per-guest rate the same working day. For a 100-guest event that is 1 counter, 1 crew, 2 m × 2 m (4 sq m) of space and about 120 cups — a plan you can hand straight to your venue.
