What an event coffee bar actually costs

Per-guest pricing, in the open. The rates below are Tier 2 starting prices; metros run about 15% higher. No hidden line items.

The rate card

Every setup is priced per guest for a 4-hour service window. The Tier 2 column is the base rate; the metro column already includes the 15% city loading, so you can read your number straight off the table.

What actually drives the price

Four things move a quote. Knowing which one is pushing your number up is usually enough to bring it back down without touching quality.

Guest count
Biggest single factor
Drives machines, baristas and consumables together, so it moves the total more than anything else.
Service hours
+18% per extra hour
Quotes cover 4 hours of service. Beyond that you are paying for crew time, not more coffee.
Menu complexity
₹20–₹60 / guest
Latte art, cold brew on tap and signature drinks need more skill and slower pours than filter coffee.
City
Metros ~+15%
Tier 1 crew, transport and venue access cost more. Tier 2 cities sit at the base rate.
The one that surprises people
Guest count and hours are not the same lever. Adding guests adds machines and crew; adding hours only adds crew time. For a conference peak you want more machines, not a longer booking — one barista on one machine sustains about 70 drinks an hour no matter how long you book them for.

How to spend less without a worse bar

Cut the menu, not the quality

Five or six well-made drinks pour faster and cost less than a twelve-item menu nobody reads. Throughput rises and the per-guest rate falls.

Match service hours to the actual peak

Coffee demand clusters. Booking 4 focused hours around your breaks beats paying for eight hours where half are dead time.

Book outside peak season

October-to-February weekends are the busiest stretch in most of India. Midweek and off-season dates have more give in them.

Count realistically

Not every guest drinks coffee. We plan on roughly a third of guests at any one moment, which is why quoting an honest headcount saves money.

Pricing questions, answered

How much does a live coffee counter cost in India?
Most live coffee bars are priced per guest. Expect about ₹180 per guest in Tier 2 cities and around ₹210 in metros, for a 4-hour service with a 50-guest minimum. That covers baristas, machines, beans and consumables; GST is extra.
Is pricing per guest or per hour?
Per guest, for a 4-hour service window. Extra hours are charged at roughly 18% of the base per hour, because you are paying for crew time rather than more coffee.
Why are metro cities more expensive?
Crew rates, transport and venue access all cost more in Tier 1 cities, so metro quotes run about 15% above the Tier 2 base rate. The menu and equipment are identical.
What is the minimum booking?
It varies by setup — from 30 guests for barista on hire up to 50 for a full espresso bar. Below the minimum you pay the minimum, which is why very small events look expensive per head.
Do you charge for travel?
There is no travel charge within city limits. Outstation events are quoted with transport and crew stay included, so the number you see is the number you pay.
Is GST included in the prices shown?
No — every price on this page is pre-tax. GST at 18% is shown as a separate line on your quote and invoice, so corporate finance teams can process it cleanly.
How much advance do you need to confirm a date?
A small advance holds the date; the balance is due close to the event. We issue a GST invoice, support vendor onboarding and accept purchase orders from companies.
Can you work to a fixed budget?
Usually yes. Tell us your budget and guest count and we will build the menu and crew around it rather than sending a quote you have to negotiate down.

Want the number for your actual event?

Send the date, city and guest count. You get a menu and a per-guest price within two hours — no call required first.
