Looking for a coffee bar for your office party? Festive office parties with coffee, mocktails and cheer. We have run beverage counters at office parties in 60+ Indian cities, and the plan below is the one we actually use: a timed run of show, the right counter for your headcount, and a menu built for the moments that matter.

At a office party, the evening is quiet until it isn't — service ticks along gently and then the whole room wants coffee within the same forty-five minutes, late. The moment everything hinges on is the hour after the performances end, and again as people start arranging cabs home. That single fact drives the whole plan: how many machines go on site, how many baristas stand behind them, whether the menu runs hot or iced, and when the counter opens and closes.

For office parties we usually combine a mocktail bar, a cold brew bar and a live coffee bar. Every setup arrives fully staffed and self-contained — machines, grinders, counters, cups, beans, milk, syrups and consumables — so the only things we need from the venue are a 2m × 2m footprint, one 16A power point per machine and water access nearby. Planner's tip: diwali and year-end dates fill fast — book 3–4 weeks ahead.

Which coffee setup fits your office party

These are the counters we recommend most often for office parties. Most clients book two — one coffee counter and one non-coffee counter — because that is where queues actually form.

Run of show: the office party beverage plan, hour by hour

This is the sequence our crews actually work to at office parties. Timings shift with your schedule, but the shape — where the quiet windows are and where the rush lands — holds almost every time.

  1. 1

    After-hours load-in

    T-90 min

We come in once the floor clears, usually after 18:00, and build the counter without disturbing anyone still working. Setup takes about 60 minutes.

  2. 2

    Arrival and first drinks

    First hour

Mocktails move first — people want something cold and colourful in hand. One mixologist plus one barista keeps both menus live without a queue forming.

  3. 3

    Games, performances and awards

    Mid-party

Orders drop to a trickle while the stage has attention. Good moment to restock ice, prep fruit and pre-batch the cold coffee base for later.

  4. 4

    Dinner and dessert drinks

    Dinner

Hot coffee demand starts climbing as dinner winds down. Mochas and hot chocolate outsell plain espresso at office parties by a wide margin.

  5. 5

Late coffee before the drive home

    Final hour

The genuine peak. Anyone driving wants a strong coffee, so we keep both machines live until 30 minutes past the official close.

The one moment to over-staff
The rush that defines a office party is the hour after the performances end, and again as people start arranging cabs home. Everything above is sequenced around it — menu length, how many lanes we run, and where the counter stands. If you change only one thing about your beverage plan, protect that window.
Venue, power and load-in
Office cafeterias, terraces and rooftop restaurants. Terraces are the thing to check: lift access for equipment, a weather plan, and one dedicated power point that is not shared with the DJ or the string lights.

Drawn from the counters recommended above, grouped the way guests actually order. Every drink is made fresh to order; dairy-free milk, sugar-free syrups and decaf are available across the board.

Hot coffee

Made to order on commercial machines. Carries the start and the end of most office party timelines.

Roughly four in ten Indian guests will skip coffee entirely. This column is not optional.

Signature drink ideas for office parties

A named signature drink costs nothing extra and is the thing guests photograph and remember. Ours are developed with you and printed on the menu board.

  • A mocktail named after the team or the year's internal tagline
  • Spiced Diwali masala latte for festive parties
  • Cold coffee shots for the dance floor
Keep the board short
Keep the printed menu to six or eight drinks. A short board pours roughly twice as fast as a long one, because guests decide before they reach the counter — and you can still make anything off-menu on request.

Guest count to setup sizing: 100 to 1,000+

Use this to sanity-check any quote you receive — ours or anyone else's. The staffing below is sized for office party demand specifically, which behaves differently from a conference break or an all-day expo.

Recommended office party beverage setup by guest count
GuestsBaristasEspresso machinesCountersService windowCups to plan for

2502 baristas1 espresso machine1 counter5 hr~250 cups

1,000+7 baristas (incl. a runner)4 espresso machines2 counters (split across zones)6–7 hr~980 cups

How we get there: one barista on one espresso machine pours 60–80 drinks an hour, so the plan is built on 3.5 hours of actual pouring and roughly one machine per 300 guests for office party-style demand. Add an hour to the service window rather than a machine: the late peak is a timing problem far more often than an equipment problem. Numbers are a starting point for the conversation, not a quotation — menu length, venue layout and the length of your service window all move them.

Beverage planning checklist for your office party

A countdown you can work backwards from. Nothing here takes long — but each item is something that becomes expensive or impossible if it is left to the last week.

  1. 1

Lock the date, the venue and a rough headcount

    6–8 weeks out

Three to four weeks for Diwali week and the last fortnight of December, which are the two busiest windows in the Indian event calendar. At this stage we only need three things: the date, the venue name and a headcount within about 20%. That is enough to hold equipment and a crew, and enough for us to tell you whether your office party needs one counter or two.

  2. 2

Choose the setup and design the menu

    3–4 weeks out

Pick your counters from the comparison above, then cut the menu down — six to eight drinks pour far faster than fifteen. This is also when you send logo files and brand colours for cup sleeves, counter wrap and the menu board, and when a signature drink gets named and sampled (for a office party, something like "A mocktail named after the team or the year's internal tagline").

  3. 3

Walk the venue: power, water and load-in

    1–2 weeks out

Office cafeterias, terraces and rooftop restaurants. Terraces are the thing to check: lift access for equipment, a weather plan, and one dedicated power point that is not shared with the DJ or the string lights. We also confirm the load-in window, lift or ramp access, parking, and a 2m × 2m footprint per counter. If power is genuinely unavailable, say so now — a generator feed is easy to plan and impossible to improvise.

  4. 4

Map the counter to your run of show

    1 week out

Send the final agenda or schedule. We align opening time, break timings and the quiet windows to it, and we staff the hour after the performances end, and again as people start arranging cabs home specifically. A counter that opens 30 minutes late at the wrong moment costs more than an extra barista.

  5. 5

Reconfirm the final headcount with a buffer

    48 hours out

Give us the final delegate or employee count and we plan consumables about 10% above it — the cheapest insurance at any event. We also exchange on-site contact numbers, gate passes and vehicle details so nothing stalls at security.

  6. 6

Day of: soft open, taste check, cup count

    Event day

Our crew arrives 90–150 minutes early, builds the counter, dials in the grinder on the venue's water and tastes shots before the first guest. At the close you get a cup count, so you know exactly what was poured and what to plan for next time.

Coffee station FAQs for office parties

The questions we are asked most often about beverage service at office parties.

What's the best coffee setup for a office party?
For most office parties we recommend a combination of mocktail bar and cold brew bar, with a live coffee bar alongside. One counter covers coffee, one covers everyone who isn't drinking coffee, which is where queues usually form. Diwali and year-end dates fill fast — book 3–4 weeks ahead.
When should the beverage counter open and close at a office party?
Open with "After-hours load-in" (T-90 min) and keep at least one machine live through "Late coffee before the drive home". The moment to protect is the hour after the performances end, and again as people start arranging cabs home — that's the window we staff for, and the one most plans under-resource.
Can you set up at an outdoor venue, or one with no power point nearby?
Yes, and it's most of what we do. Office cafeterias, terraces and rooftop restaurants. Terraces are the thing to check: lift access for equipment, a weather plan, and one dedicated power point that is not shared with the DJ or the string lights. Where there's genuinely no supply, we run the counter from a silent generator feed — we just need to know in advance, because it changes the load-in plan rather than the price by much.
Can the counter be styled to match our branding?
Yes. We wrap the counter, print cup sleeves and set the menu board in your brand colours, and we can print your logo onto the foam of every latte. Send vector artwork two to three weeks ahead so proofs can be signed off.
What happens if our guest count changes close to the date?
Final headcount is due 48 hours out and we plan consumables about 10% above it. Scaling up by 20–30% is usually just an extra machine, a barista and more milk; beyond that it becomes a second counter, which is why the sizing table above is worth reading before you sign off. Scaling down late, we adjust consumables but not crew already rostered.
Do you travel for destination or outstation office parties?
Yes. We serve 60+ Indian cities and travel to destination venues — hill stations, beach resorts, farmhouses and palace properties. Travel, equipment transport and crew stay are quoted separately and transparently. Three to four weeks for Diwali week and the last fortnight of December, which are the two busiest windows in the Indian event calendar.
Can you serve late into the night?
Yes. Late service is common at a office party — the post-dinner and before-the-drive-home rounds matter most. We confirm the venue's hard close and our team's exit plan at the time of booking.
What do you offer for children and guests who don't drink coffee?
A full non-coffee line: hot chocolate with a toppings bar, milkshakes, fresh-fruit mocktails, masala chai, green and herbal teas, and decaf made properly rather than as an afterthought. We label caffeine-free options on the menu board, which matters more at a office party than people expect.
How much does a coffee station for a office party cost?
Indicative pricing for the setups we recommend here starts at about ₹170 per guest and runs to around ₹190 per guest for the more elaborate counters, including baristas, equipment, consumables and setup. Metro cities, longer service windows, branded counters and outstation travel move the number. We send an itemised quote, usually within two hours.
