  • ●Longer hours and premium menus raise the per-guest rate

At a glance: the numbers that matter

Start here. These four figures answer most of what planners ask us in the first phone call about a cold brew bar, and the rest of this guide explains how each one moves.

In short: at the 50-guest minimum expect about ₹200 per guest, falling to roughly ₹140 by 500 guests — so a 500-guest event lands near ₹70,000 before tax. Add 18% GST, around 15% more in a metro, and budget separately for service beyond four hours and for counter branding.

Cold Brew Bar price bands: Tier 2 city vs metro

The biggest lever on a beverage quote is guest count; the second is the city. Per-guest rates fall as numbers rise, and Tier 1 metros carry roughly a 15% uplift for labour, parking and venue access. Everything below assumes a four-hour service, before 18% GST.

What does a cold brew bar include?

Every booking is all-inclusive: Overnight-brewed cold brew, Ice & dispensers, Dairy & oat milk, Reusable or eco cups. You only provide space, power and water.

What changes the price?

Five things move the quote most:

  • Guest count — per-guest price drops as numbers grow
  • Service hours beyond 4
  • Menu — premium items like Cold Coffee and Vietnamese Iced Coffee cost more
  • City and travel for outstation venues
  • Branding — counter wraps and printed cups

Sample budgets

100 guests: about ₹17,000–₹27,200. 500 guests: about ₹72,500–₹1,10,500 with volume pricing. GST is extra.

How to get the best value

Keep the menu to 5–6 drinks, time service around peak moments, and book early in wedding and festive season to lock rates.

How to budget a cold brew bar

Here is the sequence we walk clients through, in the order the decisions actually have to be made.

  1. 1

Fix the guest count and the service window

    Step 1

Every other number is derived from these two. Count the guests who will be on the floor during service rather than the full invite list, and decide whether you need four hours or the whole day.

  2. 2

Read your band off the price table

    Step 2

At 50–99 guests you sit at the top of the band because minimums apply. Past 250 the per-guest rate falls, as one crew and one machine spread across more cups.

  3. 3

Add the four things that move a quote

    Step 3

Hours beyond four, premium menu items, counter and cup branding, and travel to an outstation venue. Ask for each as a separate line so you can see exactly what is trimmable.

  4. 4

Add 18% GST and a 10% headcount buffer

    Step 4

Per-guest rates are quoted before GST. A 10% buffer covers the walk-ins every Indian event gets; we bill on actual consumption rather than the booking estimate, so the buffer usually comes back.

  5. 5

Compare quotes on inclusions, not headline rate

    Step 5

Ask each vendor what the rate covers: baristas, machine, grinder, beans, milk, cups, setup and breakdown. A cheaper per-guest number almost always means consumables are billed separately.

  6. 6

Lock the date with a small advance

    2–4 weeks ahead

Reserve against an estimate, then confirm the final headcount 72 hours before service and we reissue the invoice. Peak-season Saturdays need four to eight weeks of notice.

Frequently asked questions

Is there a minimum order for a cold brew bar?
Yes, usually 50 guests. Smaller events can use our barista-on-hire option.
Is GST included?
Quoted prices exclude 18% GST; we issue GST invoices for all bookings.
How much does a cold brew bar cost per guest?
From about ₹170 per guest for 50+ guests over four hours, rising to roughly ₹272 per guest with longer service, a premium menu or branding. Metro cities add about 15%, and 18% GST is extra.
Is the price per guest or per cup?
Per guest, based on the confirmed headcount, because that is what lets us size crew, equipment and stock correctly. Guests can order more than one drink inside the service window at no extra cost.
What is not included in the quoted price?
18% GST, invoiced separately on every booking; Travel, transport and stay for venues outside city limits, charged at cost; Venue-supplied floor space, 16A power points and water access.

How we arrived at these prices

These are operator numbers, not market research. 5,000+ events and 2.5M+ cups since 2016, across 60+ cities, is the dataset behind this page — which also means the numbers carry our own assumptions, listed plainly below.

How these figures were put together
  • ●Rates reconciled against the quotes we actually issued across our last two quarters of bookings
  • ●The Tier 1 versus Tier 2 gap measured on matched bookings — same setup, same guest count, different city — rather than estimated
  • ●Volume bands taken from where our own per-guest rate genuinely steps down, not from a round-number discount table
  • ●Exclusions stated explicitly below, because an unstated exclusion is how a per-guest comparison goes wrong

What the quoted rate includes

  • Overnight-brewed cold brew
  • Ice & dispensers
  • Dairy & oat milk
  • Reusable or eco cups

What it excludes

  • 18% GST, invoiced separately on every booking
  • Travel, transport and stay for venues outside city limits, charged at cost
  • Venue-supplied floor space, 16A power points and water access
  • Overtime beyond the booked service window, billed hourly
  • Menu items outside the agreed list, and print production beyond the standard counter wrap

Who this guide is for

  • Planners who need a defensible per-guest number before the budget meeting, not a brochure
  • Procurement and finance teams comparing two or three vendor quotes line by line
  • Hosts deciding whether a specialist counter earns its premium over bundled catering coffee
