When is the best time to book a wedding coffee bar in India?

Peak seasons, lead times and how far ahead to book a wedding coffee bar across Indian cities.

Quick answer

Book a wedding coffee bar 2–4 weeks ahead for most events, and 4–8 weeks ahead for November–February (wedding and conference season), Diwali weeks and December 31.

Key takeaways
  • ●Standard lead time: 2–4 weeks
  • ●Peak season: Nov–Feb
  • ●Festive weeks book out fast
  • ●Destination events: 3+ weeks

At a glance: the numbers that matter

Here are the hard numbers this guide is built on. They are indicative "from" figures for planning a wedding coffee bar — your firm quote depends on date, city, guest count, service hours and menu.

Off-peak lead time
1–2 weeks
April to September, weekdays especially
Peak-season lead time
4–8 weeks
Wedding and conference season, November to February
Festive dates
6–10 weeks
Diwali week, 25 December and 31 December
Quote turnaround
2 hours
Menu plus a costed per-guest number

In short: book 2–4 weeks ahead for most dates, 4–8 weeks for November–February weekends, and 6–10 weeks for Diwali week, Christmas and 31 December. Off-peak weekdays between April and September can often be served inside a week.

Booking windows and service timings across the year

Two timings matter: how far ahead to book, and when the counter should actually be open. The first is seasonal; the second depends on your run of show.

On the day itself our crew loads in 90 minutes before first serve, and we recommend keeping one counter open 60–90 minutes past the end of the main programme — that tail is consistently busier than hosts expect.

Peak periods

Expect high demand during:

  • November–February wedding season
  • Diwali and Christmas weeks
  • Financial year-end town halls (March)
  • Large expos and summits

Off-peak advantages

April–September bookings often have better availability and flexible rates.

How to time a wedding coffee bar

Here is the sequence we walk clients through, in the order the decisions actually have to be made.

  1. 1

Place your date in the season first

    Step 1

November to February is wedding and conference peak across India, and Diwali week, Christmas and 31 December are the hardest dates of the year to staff. Everything else is comparatively open.

  2. 2

Work backwards from the print deadline

    Step 2

If sponsor or event branding is involved, artwork has to be approved seven days out, which usually means briefing a designer three weeks out. Print, not availability, is often the real constraint.

  3. 3

Reserve the date against an estimate

    2–4 weeks ahead

You do not need a final headcount to hold a slot. Reserve with a range and firm the number up once RSVPs settle — the date is the scarce thing, not the quantity.

  4. 4

Map service against your run of show

    1 week before

Open at guest arrival, peak at breaks or straight after the meal, and keep one counter running 60–90 minutes past the main programme. That tail is consistently busier than hosts expect.

  5. 5

Confirm numbers and timings 72 hours out

    72 hours before

Final headcount, final timings and venue access contacts. The crew loads in 90 minutes before first serve, which needs to be cleared with the venue in the same conversation.

Frequently asked questions

Can I reserve a date without final numbers?
Yes — reserve with an estimate and confirm 72 hours before.
When should the coffee counter open and close?
Open at guest arrival, peak at scheduled breaks or straight after the meal, and keep at least one counter running 60–90 minutes past the end of the main programme. That tail is consistently busier than hosts expect.
How long before service do you arrive?
90 minutes. That covers load-in, machine calibration, the 20 minutes a machine needs to reach brew temperature, and a taste test before the first guest is served.
Can service be extended on the day?
Usually yes, subject to crew availability, billed hourly. Flagging the possibility in advance makes it far more likely we can say yes.

How we worked out these lead times

Fair question: where do these numbers come from? Barista Station has staffed 5,000+ events and poured 2.5M+ cups across 60+ Indian cities since 2016. Every figure on this page comes out of that operating history — quotes we issued, counters we ran, cups we counted — rather than from an industry average.

How these figures were put together
  • ●Lead times taken from our own booking calendar across a full Indian event year
  • ●Peak and festive windows identified from the dates that close out first
  • ●Service timings drawn from when counters are actually busy, logged event by event
  • ●Print and artwork deadlines set by our production partners, not by guesswork

What the quoted rate includes

  • Theme-matched counter decor
  • Custom couple's signature drink
  • Late-night service
  • Ethnic barista attire

What it excludes

  • 18% GST, invoiced separately on every booking
  • Travel, transport and stay for venues outside city limits, charged at cost
  • Venue-supplied floor space, 16A power points and water access
  • Overtime beyond the booked service window, billed hourly
  • Menu items outside the agreed list, and print production beyond the standard counter wrap

Who this guide is for

  • Planners holding a date but not yet a vendor, who need to know how long they can wait
  • Teams planning around November–February peak season or a festive weekend
  • Hosts of destination and outstation events, where travel windows set the lead time
