Why cold brew is the hero of summer events

Beat the Indian heat with iced coffee menus that guests love.

In short

From April to June iced drinks are more than half of all orders at outdoor daytime events in India. A cold brew bar starts at about ₹170 per guest, the brew itself needs 12–18 hours of steeping so it is batched off site, and a tap setup pours far faster than an espresso machine at peak.

Key takeaways: the numbers behind this post

If you only read one block on this page, read this one. Four figures answer most of what planners ask us in the first phone call about a cold brew bar; the rest of the post explains how each one moves.

Menus fail in two directions — too narrow and guests feel short-changed, too wide and the queue crawls while people deliberate. The fix is to think in slots rather than in drinks. Fill each slot once from the list we can pour for a cold brew bar and the board almost designs itself.

How to design a menu guests remember

Five or six decisions, in the order they come up. Work down the list and nothing important gets left to the final week.

  1. 1

Fill the six slots once each

    Step 1

Core hot, core cold, non-coffee, seasonal, signature, off-menu. Cold Coffee, Vietnamese Iced Coffee, Classic Cold Brew makes a dependable spine for the hot slots; the rest follows from season and crowd.

  2. 2

Give the non-coffee option its own queue

    Step 2

Roughly 40% of Indian guests pick chai, a mocktail or hot chocolate over coffee. A separate lane for them is the cheapest capacity you can buy at any event above about 150 guests.

  3. 3

Let the season pick the special

    Step 3

Iced lattes and cold brew through summer, masala chai and mocha through monsoon, hazelnut and spiced lattes through winter. Seasonality is what makes a menu read as considered.

  4. 4

    Name one signature drink

    Step 4

After the couple, the company or the product being launched, ideally in a brand colour. It is reliably the most photographed and most talked-about item on the counter.

  5. 5

    Hold everything else off-menu

    Step 5

Decaf, oat and almond milk and sugar-free syrups are available on request without cluttering the board. Flag the dietary options on the board itself so nobody has to ask.

  6. 6

Print the board and brief the baristas

    1 week before

A printed menu board cuts questions at the counter dramatically, which directly speeds the queue. Lock the board a week out so the print and the briefing match.

Frequently asked questions

What is the difference between cold brew and iced coffee?
Cold brew is steeped in cold water for 12–18 hours, which makes it smooth and low in acidity. Iced coffee is hot-brewed espresso poured over ice, so it is brighter, sharper and made to order at the counter.
How much ice does an outdoor summer event need?
Plan roughly 300g of ice per iced drink in Indian summer heat, and insulated storage rather than tubs — ice loss, not coffee, is the main logistics problem at an outdoor May event.
Can cold brew be served on tap?
Yes. A nitro cold brew tap is available as an add-on and pours 150 or more cups an hour, which makes it the fastest coffee format we run. It is the right call for a sharp outdoor peak.
What are the best summer menu picks?
Classic cold brew, iced latte, vanilla cold brew and a Vietnamese-style iced coffee are dependable, plus one fruit-forward cold option for guests who do not drink coffee at all.
How many drinks is too many on the board?
Beyond about eight or nine the queue slows measurably and most guests default to a cappuccino anyway. Keep the board short and hold decaf, plant milks and sugar-free options as off-menu requests.
Do you offer vegan, sugar-free and decaf options?
Yes — oat and almond milk, sugar-free syrups and decaf are all available on request. Flag them on the printed menu board so guests do not have to ask at the counter.
Can we add a signature drink of our own?
Yes. Signature drink development is a separate one-off line and it is consistently the most photographed item on the counter. Send us a colour, a flavour or a name and we build it.

How we know what guests actually order

Fair question: where do these numbers come from? Barista Station has staffed 5,000+ events and poured 2.5M+ cups across 60+ Indian cities since 2016. Every figure in this post comes out of that operating history — quotes we issued, counters we ran, cups we counted — rather than an industry average.

How these figures were put together
  • ●Order mix counted from the drinks actually served, not from what planners expected
  • ●Menu-size guidance tested against queue times at real counters
  • ●The non-coffee share measured across Indian corporate and wedding crowds
  • ●Seasonal splits taken from the same months year over year rather than from one event

What a quoted rate includes

  • Overnight-brewed cold brew
  • Ice & dispensers
  • Dairy & oat milk
  • Reusable or eco cups

What it excludes

  • 18% GST, invoiced separately on every booking
  • Travel, transport and stay for venues outside city limits, charged at cost
  • Venue-supplied floor space, power points and water access
  • Overtime beyond the booked service window, billed hourly
  • Menu items outside the agreed list, and print production beyond the standard counter wrap

Who this post is for

  • Hosts choosing a drinks list and unsure whether they have too many options or too few
  • Planners who want one photographed, talked-about signature drink
  • Anyone catering to a mixed crowd of coffee drinkers, chai drinkers and non-caffeine guests

All prices in this post are indicative "from" rates for planning and exclude 18% GST. Across our range, per-guest pricing runs about ₹90 for a chai counter to ₹300 for a fully branded latte art setup, with metros roughly 15% above Tier 2 cities. A firm quote depends on your date, city, venue, guest count, service hours and menu — we send one within two hours.
