Use a coffee counter to triple your expo booth footfall

The simplest booth-traffic tactic at trade shows.

In short

A branded coffee kiosk on an expo booth reliably lifts footfall two to three times, because a three-minute wait for a fresh cappuccino is a three-minute conversation. Budget from about ₹190 per visitor served, plan 60–80 cups an hour per barista, and pair every cup with a badge scan so footfall becomes a lead list.

Key takeaways: the numbers behind this post

The activation numbers, lever by lever

A coffee counter is the busiest square metre at most events, which is exactly why it works as a brand asset — but only if you attach numbers to it. These are the levers, what each one realistically delivers, and what it needs from you.

Footfall uplift at a booth is reported as a two-to-three-times range because the hall, the booth position and the offer matter as much as the coffee does. Our own logo never appears on a sponsored counter. Rates from ₹190 per guest served, excluding 18% GST.

Why it works

Visitors walk the hall for hours and want a break. Free coffee creates a reason to stop, and a 3-minute wait is a 3-minute pitch window.

Capture leads

Pair each cup with a badge scan or QR code to turn coffee into qualified leads.

Turn your stand into the busiest one in the hall

Send your date, city, venue and guest count and you will have a menu plus a costed per-guest number within two hours. Or call +91 96731 98867 and we will price it on the call.

How to run a coffee counter as a brand activation

This is the process in practice rather than in theory — each step is where a real event either stays on track or starts to wobble.

  1. 1

Decide whose brand owns the counter

    Step 1

Host, sponsor or product — pick one. A counter carrying two identities reads as neither, and the entire value of the asset is that visitors make a single, clear association.

  2. 2

Size it to the footfall you want, not the floor space you have

    Step 2

One barista serves 55–75 cups an hour and 400–500 across a show day. If the target is higher than that, the answer is a second barista on the same counter.

  3. 3

    Choose your surfaces

    Step 3

Counter wrap and cups are the baseline, because cups leave the stand and travel the hall. Add the backdrop for photography and logo latte art for social reach.

  4. 4

    Attach a capture step

    Step 4

A QR flow or badge scan at collection turns cups served into a countable lead list. Without it you get footfall and photographs but no number to put in the post-event report.

  5. 5

    Send artwork against real deadlines

    7–10 days before

Vector AI, EPS or SVG with brand colour codes: seven days for wraps and backdrops, ten for printed cups and aprons, three for logo latte art. Print, not availability, is the real constraint.

  6. 6

Brief the baristas as brand staff

    On the day

They are the only people at the activation talking to every single visitor. One line about the product, delivered while the milk steams, is worth more than a leaflet nobody takes.

Frequently asked questions

How many cups will an expo booth serve in a day?
One barista on an eight-hour show day serves roughly 400–500 cups once queue gaps are allowed for. Two baristas on one kiosk take that past 800, which is usually the point at which floor space rather than throughput becomes the constraint.
Does free coffee actually generate leads?
Only if you attach a capture step. A QR code or badge scan at collection turns cups served into a countable lead list; without it you get footfall and photographs but no number to report afterwards.
Can the kiosk carry only our branding?
Yes. Our own logo never appears on a sponsored kiosk — the whole point is that visitors associate the cup with your brand. Send vector artwork seven days ahead for the wrap and ten for printed cups.
What size booth do you need?
A kiosk works in 2m × 2m, plus about a metre of clearance for the queue so it does not block the aisle. It needs one dedicated 16A socket and water access within 20 metres, which most exhibition halls can supply on request.
Will our logo be the only one on the counter?
Yes. Our own logo never appears on a sponsored counter — the whole point is that visitors associate every cup with your brand, not ours. Crew uniforms can carry your identity too.
What artwork do you need, and by when?
Vector AI, EPS or SVG with brand colour codes: seven days ahead for counter wraps and backdrops, ten for printed cups and aprons, three for logo latte art. Rush production is possible in metros.
Can the activation results be measured?
Yes. A QR code or badge scan at collection turns cups served into leads captured, which gives the spend a number rather than only a photograph.

How we measure activation results

Fair question: where do these numbers come from? Barista Station has staffed 5,000+ events and poured 2.5M+ cups across 60+ Indian cities since 2016. Every figure in this post comes out of that operating history — quotes we issued, counters we ran, cups we counted — rather than an industry average.

How these figures were put together
  • ●Cup counts and dwell times logged at expo, launch and fest activations we staffed
  • ●Lead-capture numbers taken from the scan flows clients ran at our counters
  • ●Artwork specifications and lead times set by our print partners' real schedules
  • ●Footfall uplift reported as a range, because the booth and the hall matter as much as the coffee

What a quoted rate includes

  • Compact kiosk (fits 2×2 m)
  • Full brand wrap
  • Espresso machine & barista
  • Consumables & cups
  • Lead-capture friendly layout

What it excludes

  • 18% GST, invoiced separately on every booking
  • Travel, transport and stay for venues outside city limits, charged at cost
  • Venue-supplied floor space, power points and water access
  • Overtime beyond the booked service window, billed hourly
  • Menu items outside the agreed list, and print production beyond the standard counter wrap

Who this post is for

  • Brand, sponsorship and field-marketing teams who need a number against the spend
  • Agencies producing event collateral who need artwork specs and real deadlines
  • Exhibitors tired of a booth nobody stops at

How to read the prices in this post
All prices in this post are indicative "from" rates for planning and exclude 18% GST. Across our range, per-guest pricing runs about ₹90 for a chai counter to ₹300 for a fully branded latte art setup, with metros roughly 15% above Tier 2 cities. A firm quote depends on your date, city, venue, guest count, service hours and menu — we send one within two hours.
