Coffee cart hire: a complete guide

Space, power and styling tips for a mobile coffee cart.

In short

A mobile coffee cart needs 2m × 2m of level floor, one dedicated 16A power point per machine, water within 20 metres and a 90-minute setup window. Cart hire starts at about ₹200 per guest for 50 or more guests, and the cart can be wrapped in florals, fabric or brand vinyl to match your theme.

Key takeaways: the numbers behind this post

These are the hard numbers behind this post, in one block. They are indicative "from" figures for planning a coffee cart for events — a firm quote still depends on your date, city, guest count, service hours and menu.

Venue requirement checklist

Send this table to your venue or facilities manager as it is. Every line is something that has delayed a load-in at least once, and the last row is everything you do not have to think about, because it travels with our crew.

Outdoor, lawn and heritage venues add two lines: shade or a canopy, and a stated generator capacity so machines can be sized against it rather than discovered on the day. Hotels and convention centres usually need vendor passes — send us their vendor policy and we complete the paperwork.

Space and power

A cart needs about 2m × 2m, one 16A power point and access to water within 20 metres.

Styling

Carts can be wrapped in florals, fabric or brand vinyl to match your theme.

How to get your venue ready for a coffee cart for events

Here is the sequence we walk clients through, in the order the decisions actually have to be made.

  1. 1

Choose the counter spot on the guest flow

    Step 1

On the path between the hall and the lounge, never tucked into a corner. Leave a metre of clearance in front so the queue does not block a walkway at peak.

  2. 2

Get the power confirmed in writing

    Step 2

One dedicated 16A socket per machine, on a circuit not shared with stage lighting or sound. This is the single most common cause of mid-service interruptions at Indian venues.

  3. 3

    Sort water, waste and shade

    Step 3

A tap within 20 metres is ideal; otherwise tell us and drums travel with the crew. Add two bins within reach, and a canopy if the counter is outdoors in daylight.

  4. 4

Book the load-in window and the passes

    48 hours before

A 120-minute setup window, trolley or lift access for the machine case, and vendor passes if it is a hotel or convention centre. Send us their vendor policy and we complete the paperwork.

  5. 5

Confirm generator capacity for outdoor venues

    48 hours before

An espresso machine draws a sharp load when the boiler cuts in. Lawn, beach and heritage venues are entirely workable once the stated capacity is in writing rather than assumed.

  6. 6

Share a floor plan or a few photos

    48 hours before

Photos are usually enough to spot a problem before the day. Site visits are only needed above roughly 1,000 guests, or for unusually complex multi-level venues.

Frequently asked questions

How much space does a coffee cart need?
2m × 2m of level floor for the cart itself, plus about a metre of clearance in front so the queue does not block a walkway. Doorways and lift openings need roughly 90cm of clear width for the cart to pass.
Can a coffee cart work outdoors on a lawn?
Yes, with two additions: shade or a canopy, and a firm level patch for the wheels. Soft ground and direct afternoon sun are the two things that genuinely slow an outdoor cart down.
Can we run the cart on a generator?
Yes, provided the generator capacity is confirmed in advance. An espresso machine draws a sharp load when the boiler kicks in, so we size against the stated capacity rather than discovering it on the day.
Can the cart be branded or styled?
Yes. Fresh floral styling to your palette, fabric drapes, brand vinyl wraps and a neon or signage board are all available as separate add-on lines, so you can see exactly what styling adds to the quote.
What if the venue has no water point nearby?
We carry water drums — just tell us in advance so the crew loads them. The same applies to outdoor venues on generator power, where we need the generator capacity stated.
Can you run from an extension cord?
No. A machine needs its own 16A circuit; sharing one with stage lighting or sound is the most common cause of mid-service interruptions at Indian venues.
Do you handle venue vendor passes and paperwork?
Yes. Send us the venue's vendor policy and we complete the forms, including FSSAI licence and liability insurance, well before load-in rather than at the security desk on the day.

How we set these logistics requirements

Fair question: where do these numbers come from? Barista Station has staffed 5,000+ events and poured 2.5M+ cups across 60+ Indian cities since 2016. Every figure in this post comes out of that operating history — quotes we issued, counters we ran, cups we counted — rather than an industry average.

How these figures were put together
  • ●Requirements written from load-in experience across hotels, convention centres, lawns, farmhouses and palaces
  • ●Power and water specs taken from the equipment's own draw, not rounded up for comfort
  • ●Setup windows measured from arrival to first calibrated shot, including access delays
  • ●The arranged-by column reflects who genuinely controls each item at an Indian venue

What a quoted rate includes

  • Styled vintage cart
  • Floral or brand decor
  • Espresso setup
  • Baristas & consumables

What it excludes

  • 18% GST, invoiced separately on every booking
  • Travel, transport and stay for venues outside city limits, charged at cost
  • Venue-supplied floor space, power points and water access
  • Overtime beyond the booked service window, billed hourly
  • Menu items outside the agreed list, and print production beyond the standard counter wrap

Who this post is for

  • Hosts who have to send a vendor requirement list to a venue or facilities manager
  • Venue and banquet teams checking what a live counter actually needs from them
  • Planners working with lawns, rooftops, farmhouses, palaces or generator power

How to read the prices in this post
All prices in this post are indicative "from" rates for planning and exclude 18% GST. Across our range, per-guest pricing runs about ₹90 for a chai counter to ₹300 for a fully branded latte art setup, with metros roughly 15% above Tier 2 cities. A firm quote depends on your date, city, venue, guest count, service hours and menu — we send one within two hours.
